INVITATION LETTER

GENERAL INFORMATION

BELGIUM is a member state of the European Union and a member of the Schengen Area.

All international visitors from non-EU countries must present a valid passport when entering and may be required to have a valid Visa.

Please refer to the following websites to check if you require a visa to enter the European Union:

If you need a visa, we recommend applying for a Schengen Visa at the BELGIAN Embassy or Consulate in your country at least two months before the intended travel date to Italy.

how to send your INVITATION LETTER 

If you need an official invitation to attend the Conference, you may request it by filling out this letter with your personal data.

Please name the file using your family name and send it to essxxrc@sistemacongressi.com  by Friday July 19, 2024.

including  a copy of your valid passport. 

Invitation letters with modified text will not be accepted.

No changes or corrections can be made by the Organizing Committee. If your invitation letter contains incorrect data, you will need to send the letter again.

In your cover letter, please explain your interest in the conference. If you are a paper presenter or an invited speaker, simply mention it.

what happens next?

The invitation letter will be sent to you by email with an attached PDF file.

Invitations will NOT be sent by fax, neither to you nor to the relevant embassy.

If you would like to receive a hard copy of the invitation letter via courier or shipping agent, please arrange for a courier service on your own.

The processing time takes up to 10 working days and cannot be shortened.

Please check your spam folder before contacting us for undelivered invitations.

 

Please note that the invitation letter will only be sent to delegates who have already paid their registration fee. 

In case of visa refusal, the amount paid for registration is refundable, except for an administration fee of Euro 50. An official document attesting to the visa refusal is required. Refunds will be processed after the Conference.
